The Secretary of State (SOS), Management Services Division is recruiting to fill a permanent, full-time Business Service Officer I (Supervisor) position within the Business Operations Bureau, Business Services Unit to perform a variety of functions for an exciting and fast-paced organization. A Training and Development (T&D) Assignment will be considered for this recruitment. To be appointed to the classification, the successful T&D candidate must fully meet the minimum qualifications by the end of the T&D assignment.
Under direction of a Staff Services Manager I (Supervisor), the incumbent is responsible for the management, operation, and supervision of the agency’s production services related functions. Functions include mail and messenger services, supply services, and document/material reproduction. Performs the more complex and technical production services assignments and personally responds to the more critical problems or issues; confers and meets on a regular basis with the other agency’s administrative managers or staff. Reviews and approves unit expenditures, identifies budgetary needs, and provides assistance in budget development for Business Services; compiles statistical data to substantiate workload and resources available to process the workload; documents resource needs, workload projections and trends; develops alternatives and makes recommendations on the best solution to address issues and prepares policy and issue reports for higher management consideration; forecasts agency needs based on utilization of equipment, service and goods contracts, and makes recommendations for more effective and efficient use of these resources.
Desirable Qualifications : The most desirable candidate will have experience with mail processing, reproduction/duplication processes; experience maintaining a warehouse and/or loading dock; excellent customer service skills; team leadership, evaluating staff performance, and mentoring effectively. Candidates should have the ability to work both independently and in a team environment; prioritize and schedule work effectively; possess effective communication skills with a wide variety of audiences. This is a challenging position that demands flexibility, the ability to work under pressure and meet deadlines in a timely fashion.
