Event Planning Assistant - Business Development Support

Market My Market is seeking a detail-oriented and resourceful Event Planning Assistant to support our Business Development team with event coordination and planning across the United States. This remote, part-time contractor role is perfect for someone with strong organizational skills who thrives on managing multiple moving pieces and creating exceptional experiences for clients, prospects, and referral partners.

About the Position:

This 1099 contractor position offers 20-25 hours per week at $20/hour, working remotely to coordinate business development events nationwide. You'll be the behind-the-scenes coordinator ensuring seamless execution of client dinners, prospect events, and networking opportunities that drive business growth for our legal, dental, and specialty medical clients.

Responsibilities

Event Planning & Coordination

  • Plan and coordinate business development events including plated dinners for approximately 30 people across various US cities
  • Source and secure appropriate venues, restaurants, and event locations nationwide
  • Coordinate menus, dietary restrictions, and special requests with venue partners
  • Manage event budgets and track expenses to ensure cost-effective execution
  • Create and maintain detailed event timelines and logistics plans

Attendee Management

  • Monitor and track event attendees, RSVPs, and guest lists
  • Coordinate invitation design, distribution, and follow-up communications
  • Manage attendee communications leading up to and following events
  • Handle last-minute changes, cancellations, and special accommodations

Travel & Logistics Support

  • Coordinate travel arrangements for team members attending events
  • Research and book accommodations, transportation, and venue logistics
  • Provide on-site event support and troubleshooting as needed
  • Maintain relationships with preferred vendors and venues in key markets

Conference & Trade Show Support

  • Assist with conference planning, booth coordination, and event logistics
  • Support team members at industry conferences and networking events
  • Coordinate shipping of materials, promotional items, and event supplies
  • Manage pre-event and post-event communications and follow-up

Administrative Support

  • Maintain detailed records of all events, vendors, and associated costs
  • Prepare post-event reports and analysis for business development team
  • Research new venues and opportunities in target markets
  • Support other business development initiatives as needed

Qualifications

Required Experience:

  • 2+ years of event planning, coordination, or hospitality experience
  • Proven track record of managing multiple events and deadlines simultaneously
  • Experience with budget management and vendor negotiations
  • Strong research skills for sourcing venues and vendors in unfamiliar markets

  • Proficiency with project management tools and spreadsheet applications
  • Ability to work independently and proactively solve problems
  • Strong attention to detail with ability to manage multiple projects

Preferred Qualifications:

  • Experience with corporate events, client entertainment, or B2B event planning
  • Familiarity with major US markets and venue options
  • Knowledge of CRM systems (HubSpot preferred)
  • Background in hospitality, marketing, or business development support
