Role Summary

The Executive Assistant Office Manager plays a pivotal role in ensuring the seamless and efficient daily operations of our office and working as a key teammate to all employees. This position is responsible for maintaining an organized and welcoming office environment, providing comprehensive administrative support across departments, overseeing office facilities and supplies, and coordinating essential business functions.

The ideal candidate is highly proactive, meticulous in their attention to detail, and adept at managing multiple priorities simultaneously.

Key Responsibilities

  • Be a primary point of support for new franchisees as they get through the onboarding and online training steps ahead of their on-site training, as well as being a continued point of support as they get started operating in the field
  • Organize and execute printing and packaging of materials for franchisee onboarding training in advance of bimonthly training sessions held at the Colorado office
  • Maintain new hire equipment and software list and align on hiring timelines with department heads to ensure equipment is on hand and ready for new hires on their first day
  • Monitor and ensure consistently adequate office supply inventory and branded inventory for new hires and franchisees.
  • Coordinate office maintenance, including repairs and cleaning services.
  • Coordinate incoming and outgoing mail and manage all package deliveries.
  • Maintain employee software license database to minimize costs while ensuring all employees have the tools they need to be effective.
  • Perform data entry, filing, and document management tasks, including leading documentation collection process for new hires.
  • Support cleanliness efforts by supplementing cleaning staff, including wiping down kitchen counters and tables in training and breakroom areas.
  • Manage and maintain office equipment, including printers, conference & training room technology, coordinating maintenance to ensure these systems operate effectively.
  • Assist in scheduling meetings and preparing or updating documents in Microsoft office on behalf of the CEO, COO, and CFO, as requested
  • Demonstrate flexibility and a collaborative mindset by taking on ad hoc projects or tasks assigned by leadership across Finance, Operations, Business Development, or Human Resources departments.

Desired Skills and Qualifications

  • Associate's degree or equivalent certification from a two-year college or technical school or equivalent experience.
  • 3+ years of office administration or executive assistant experience required.
  • Exceptional written and verbal communication skills, with the ability to tailor messaging to accommodate diverse audiences.
  • Demonstrated experience in utilizing the full Microsoft Office 365 suite effectively.
  • Punctual, dependable, and responsible in fulfilling commitments.
  • Strong organizational skills with the ability to prioritize tasks across multiple departments.
  • Detail-oriented and capable of performing precise, accurate work while maintaining quality standards.
  • Demonstrated ability to work independently with minimal supervision.
  • Proficient in operating office equipment and troubleshooting minor issues.
  • Flexible and willing to take on new responsibilities and assist with various tasks as needed to support the team.
